Cohorts: The Cohort Dashboard

Introduction

The Cohort Dashboard is a front-end management area available to Cohort Owners only, for managing their Cohort.

It provides a simple interface to manage members, assign courses, and view learner progress without needing CMS access.

Owners can access the dashboard after logging in, usually from a dedicated link or through their account menu.


Navigating the Cohort Dashboard

If a user is the owner of multiple cohorts, they will see a list of all cohorts they manage upon opening the dashboard.

Each cohort card or row displays key details:

  • Cohort name
  • Number of assigned courses
  • Member count (for example, 31/50)
  • Available seats

Selecting a cohort opens its overview screen, where owners can manage members, review progress, and assign courses.

The Cohort overview screen contains two main tabs:

  • Members: shows a table of cohort members, along with available metrics such as progress or status (fields depend on client configuration).
  • Courses: lists all courses available to the cohort and allows owners to assign or remove them.

Viewing learners and their detailed progress

Cohort Owners can view progress and activity for each learner directly within the Members tab.

Selecting a learner opens their Student Report Card, which displays detailed information about that learner’s performance within the cohort.

This view typically includes:

  • Courses enrolled
  • Progress percentage
  • Completion status
  • Completion date

Additional fields may appear depending on the client configuration.

Viewing available courses

The Courses tab shows all courses available to the cohort, as defined in the CMS.

Cohort Owners cannot add or remove courses directly through the dashboard unless a bespoke feature has been configured for their instance.

Each listed course displays key details such as:

  • Course title
  • Number of enrolled members

Additional fields may appear depending on the client configuration.


Inviting and managing members

Owners can add learners to the cohort from the Cohort overview screen.

Click Invite member, which opens a modal with two options:

  1. By email: manually enter the learner’s name and email address.
  2. Bulk upload users: use the template CSV provided to populate and upload a CSV file containing multiple learner details.

If a learner does not already have an LMS account, one will be created automatically when the invitation is sent.

Pending invitations can be resent or cancelled at any time. Once a learner accepts the invite, they become a member and use one seat in the cohort.


Configuring the Cohort invite notification

When an invitation is sent, learners receive an automated Cohort Invite notification by email.

Site administrators can manage the Cohort Invite Notification under Advanced Actions ➝ Notifications, in the same way as other notifications.

By default, the message includes:

  • The name of the cohort
  • A link to accept the invitation and set a password

If a learner does not accept the invitation, it remains pending until they do so. Cohort Owners can resend or cancel invites from within the dashboard.
