ClickUp Best Practices

Please keep the following in mind when working with tasks in ClickUp:

Provide as much detail as possible

The more context you include when raising a task, the better. For example:

  • Bug reports with clear steps to reproduce
  • Feature requests that include desired outcomes or examples
  • Any relevant links, screenshots, or user stories

This saves us time and helps your budget go further by reducing unnecessary back-and-forth.

Prune lists regularly

Tasks that are no longer relevant can distract from important work. If something is out of date or no longer needed, feel free to close it yourself, or flag it for your Project Manager to review.

Prioritize assigned or blocked items

If a task is assigned to you, the next action is likely yours.

If it’s Blocked, take a moment to check whether you can help unblock it—by providing feedback, answering a question, or removing a dependency.

Use Mentions Thoughtfully

Tagging users with @name ensures they receive a direct notification.

Use mentions when you need someone’s input or decision, especially if they’re not already assigned to the task or watching it.

Review Your Notification Settings

Make sure your email notifications are turned on for @mentions. This is the easiest way to stay in the loop without checking ClickUp daily. You can customize your settings to reduce noise while still catching what matters.
